HOTEL JOSEPH CONRAD – REGULATIONS 
Dear Guests,
We rely on your cooperation in adhering to these regulations, which govern reservations, hotel stays, cancellations, payment, and the validity of reservations. They are designed to ensure a comfortable and peaceful stay at our Hotel.

I. Accommodation
Hotel rooms are rented per night. The hotel day starts at 3:00 PM on the day of arrival and ends at 12:00 PM on the day of departure.
If the guest does not specify the duration of the stay, it is assumed that the room is rented for one night.
Guests can check in between 3:00 PM and 12:00 AM. Late check-in must be reported to the hotel reception at least one day in advance. A surcharge of 50 PLN applies for late check-in.

II. Extending Your Stay 
Guests wishing to extend their stay beyond the booked period must notify the reception by 10:00 AM on the day the room rental ends.
Failure to notify the hotel and leaving belongings in the room after 12:00 PM will be treated as an automatic booking of the next night, provided rooms are available. If the hotel is fully booked, the guest’s belongings will be stored.
The hotel will accommodate extension requests subject to availability.

III. Guests’ Responsibilities 
Hotel guests cannot transfer their room to others, even if the payment period has not expired.
Non-registered persons may stay in the hotel room between 7:00 AM and 10:00 PM.
Children up to 3 years old stay free if sharing a bed with parents. Children from 4 years old are charged full price.
The hotel provides services according to its category and standard. Guests should report any service issues immediately to the reception.
When leaving the room, guests must ensure the door is locked and leave the key at the reception.
Guests are financially responsible for any damage to hotel property, equipment, or technical devices caused by themselves or their visitors.
The hotel is not responsible for loss or damage to money, valuables, securities, or items of artistic or scientific value unless deposited at reception.
The hotel parking lot is unmonitored. The hotel is not responsible for vehicle loss or damage. Guests must report any damage or loss to the reception and the police immediately.
Items left in the room after departure are kept for one month. Guests can collect them at reception or arrange courier pickup at their own cost.

IV. Reservations 
Reservations can be made via:
Hotel website and online booking engine
Completing and sending the online reservation form
Written, faxed, or emailed request
Telephone booking
Personal booking at the hotel reception (direct walk-in)
A minimum deposit of 30% of the total stay is required for a legally binding reservation.
The deposit can be paid via bank transfer, e-transfer, cash, or credit card (with written consent).
Deposit payment deadlines are specified in the booking offer, confirmation email, or agreed by phone.
For VAT invoices to businesses, provide company details in the transfer title or email them to recepcja@hotelconrad.pl.
The payment date is considered the date the hotel’s bank account is credited.

Reservations are not valid without deposit payment or sufficient credit card funds.
Personal reservations require 30% deposit paid in cash or by credit card at reception.
Walk-in guests must pay the full stay upfront; no deposit is required.
The billing period in the hotel is 7 days. Guests staying longer must pay for the used stay and services within 7 days from arrival. The hotel may request increased credit card pre-authorization or early payment if necessary.
Room charges must be settled in advance or before departure, but the billing period cannot exceed 7 days.
Additional hotel services can be charged to the room account (“Hotel credit”) upon request to reception or restaurant staff.
Service charges are based on the hotel’s current price list at the time of booking.

V. Cancellation Policy 
Guests canceling a reservation will be charged:
100% of the stay if canceled less than 7 days before arrival or in case of no-show (off-season)
100% of the stay if canceled less than 14 days before arrival or in case of no-show during high season: 30 April – 3 May, 1 June – 31 August
Any difference between deposit and cancellation fee will be refunded via bank transfer.
Cancellation fees are deducted from the deposit, prepayment, or charged to the credit card. Any remaining fee will be invoiced separately.
Cancellation must be made in writing, by fax, or email.

VI. Additional Provisions 
Reservations via third-party platforms may have different terms that override this regulation.
The hotel strives to resolve disputes amicably. If no agreement is reached, the District Court in Pisz has jurisdiction over disputes.
